These Terms of Service (“Terms”) govern all consultations, telehealth sessions, procedures, and product purchases provided by WA Menopause Clinic, operated by United Health Australia Pty Ltd, trading as WA Menopause Clinic (“the Clinic”). By booking or receiving services, you acknowledge and agree to these Terms.
1. Appointment Confirmation

Appointments may be confirmed by phone or email.

Reminders are issued 24–72 hours prior via SMS, email, or phone. Please reply “Yes” or “No” promptly to confirm or cancel.

Repeated non-confirmations or late cancellations may require pre-payment before future bookings.

*Please note: Consultation fees may vary based on the complexity and specifics of your concerns, with final fees set by the doctor.
Note: Fees are subject to change. For transparency, any adjustments will be communicated in advance. Medicare rebates depend on eligibility criteria.
Patients who have not seen a Doctor at this clinic, or have had 12 months lapse from seeing a doctor in this clinic (Face to Face), will not be eligible for Telehealth Medicare Rebates as per MBS Schedule rules. https://www.servicesaustralia.gov.au/who-can-claim-telehealth-services-under-mbs-or-dva?context=20
Deposit Requirement for Initial Consultations:
For an initial in-clinic consultation, a $200 deposit is required at least 24 hours before the appointment to secure the consultation time. This deposit is applied toward the total consultation fee.
3. Cancellations, Rescheduling & No-Show Policy
Cancellations with less than 24 hours’ notice or missed appointments incur an $80 fee, payable before future bookings.
Frequent short-notice cancellations may result in a pre-payment requirement.
Cancellations must be received by phone or email to be valid.
4. Payment, Processing & Surcharges (Updated October 2025)
Payment is required on the day of service, unless prepaid via Automed, Tyro, or other authorised gateways.
All merchant processing fees, payment-gateway surcharges, and e-commerce transaction costs associated with online pre-payments or in-clinic card transactions are charged to the patient at cost.
This includes the Tyro EFTPOS surcharge for in-clinic transactions and the Automed processing fee for online payments, deposits, or bookings.
These charges are set by third-party providers and disclosed at checkout, terminal display, or on receipts.
Shipping and postage costs for prescribed products, supplements, or skincare are borne by the patient and non-refundable once dispatched.
After 2 (two) years of non-attendance, patients may require a new initial consultation to re-establish care.
5. Privacy, AI & Data Security
The Clinic complies with the Privacy Act 1988 (Cth) and Australian Privacy Principles.
Heidi AI, an AHPRA-compliant transcription tool, may be used to document consultations; consent is obtained via signed AI Consent Form.
Digital systems (Automed, Tyro, Halaxy, secure cloud storage) are encrypted and monitored for compliance.

Incomplete documentation may require a follow-up visit to finalise care.
7. Informed Consent & Treatment Suitability
All procedures require informed consent.
Practitioners will discuss the purpose, benefits, risks, and alternatives.
The Clinic may decline or modify treatment recommendations where patient safety could be compromised.
Clients may withdraw consent at any time prior to treatment.
8. Treatment Process & Follow-Up
Each service begins with a professional medical review to confirm suitability.
Follow-up appointments may be required to monitor outcomes.
Clients must adhere to all aftercare guidance provided.
9. Post-Treatment Responsibilities
Compliance with post-treatment instructions is mandatory to support optimal outcomes.
The Clinic is not liable for complications arising from non-compliance.
10. Medical Emergencies & Adverse Events
In emergencies, call 000 or attend the nearest hospital.
Notify the Clinic promptly for follow-up documentation and care coordination.
11. Refunds, Credits & Package Expiry
The Clinic operates a no-refund policy for completed services, except as required by Australian Consumer Law.
Retail items may be exchanged or refunded if unopened and in original packaging.
Treatment packages expire 12 months after purchase and are non-transferable unless approved in writing.
12. Children & Pets
Children are not permitted in consultation or treatment areas.
Pets are prohibited except for certified assistance animals.
13. Liability & Indemnity
Liability is limited, to the extent permitted by law, to the cost of service provided.
Clients indemnify the Clinic and its practitioners against claims arising from nondisclosure, misinformation, or deviation from clinical advice.
This does not restrict statutory rights under the Australian Consumer Law.
14. Force Majeure
The Clinic is not liable for delays or cancellations caused by events beyond its control—including pandemics, cyber incidents, power outages, equipment failures, or natural disasters—where reasonable mitigation efforts are made.
15. Right to Refuse or Terminate Service
The Clinic reserves the right to refuse or discontinue services where:
The requested treatment poses health or safety risks;
The client breaches these Terms; or
Clinical judgement deems treatment inappropriate.
All actions comply with AHPRA and anti-discrimination law.
16. Dispute Resolution & Complaints
Concerns should first be raised directly with the Clinic in writing.
Unresolved disputes proceed to independent mediation prior to litigation.
Clients retain full rights under Australian Consumer Law and AHPRA frameworks.
17. Intellectual Property & Website Use
All digital content, educational materials, and intellectual property remain owned by United Health Australia Pty Ltd.
Reproduction, distribution, or adaptation without written permission is prohibited.
18. Governing Law
These Terms are governed by the laws of Western Australia and the Commonwealth of Australia, enforceable in all Australian jurisdictions.
19. Updates to Terms
The Clinic may amend these Terms to reflect policy, technology, or regulatory changes. The current version is always available on our website.

This Fee & Surcharge Schedule forms part of the WA Menopause Clinic Terms of Service and applies to all payments, online pre-payments, and product purchases. The following charges are transparently disclosed to ensure compliance with Australian Consumer Law and to uphold the Clinic’s commitment to fee transparency.

All fees, surcharges, and clinical services are disclosed transparently in accordance with ACCC Merchant Surcharge Transparency Guidelines.
The clinic upholds a zero-tolerance policy toward misconduct, discrimination, and privacy breaches.
All patient information is stored securely in encrypted systems compliant with ISO 27001 Information Security Standards.
